# Documents

Under the **“Documents”** menu item, you will find a central overview of all files, photos and documents stored in Immodio that were recorded in the individual categories of your units, properties or parties, or during processes such as new lettings and property handovers, or that were generated by Immodio. This gives you access to your property-related documents anytime and from anywhere.

* You can also upload additional documents within the relevant category so that all important documents can be managed centrally in Immodio.&#x20;
* By default, so-called **system folders** are available (for example for defects, tenancies and bookings). These folders and their structure are **predefined and cannot be changed** because they reflect the internal data structure of your Immodio database.&#x20;
* However, you can create your own folders and folder structures at any time under **“Other documents”** to organize additional documents clearly. You have two options for creating your own folders:
  * a) You can create your own folders directly on the first level under “Other documents”.
  * b) Whenever you are in one of the default system folders and an “Other documents” folder exists there (for example “All documents” / “Units” / “Apartment Building 2 - 1st floor left” / “Other documents”).
* Use the magnifying-glass icon to search the current level for specific folders or files.

<summary><strong>Create custom folders</strong></summary>

You can create your own folders and folder structures at any time under **“Other documents”** to organize additional documents clearly. You have two options for creating your own folders:

* a) You can create your own folders directly on the first level under “Other documents”.
* b) Whenever you are in one of the default system folders and an “Other documents” folder exists there (for example “All documents” / “Units” / “Apartment Building 2 - 1st floor left” / “Other documents”).

#### **Procedure**:

1. Click **“+ New folder”**.
2. Enter the desired **folder name** in the field.
3. Confirm by clicking **Save**.

#### Procedure

1. Click the **“** **three-dot menu”** of a folder you created yourself.
2. Click **“Rename folder”**.
3. Then enter the desired folder name.
4. Confirm the change by clicking **“Rename”**.

Please note that only folders you created yourself can be renamed. For technical reasons, system folders retain their predefined names.

<summary><strong>Add files</strong></summary>

You can upload your own files, but not to every **system folder**. For example, **only one** set of house rules can be stored per property. Documents in tenancy folders can only be uploaded through the relevant tenancy. Files can be uploaded in the following ways:

* **Camera:** Take a photo directly with the camera, for example a picture of a document.
* **Gallery:** Select an existing file or photo from your photo gallery.
* **Drag and drop:** Drag a PDF file into the designated field (currently, only PDF files are supported).
* **File selection:** Click the drag-and-drop  field to open the file explorer and manually select the desired PDF file (currently, only PDF files are supported).

Each file has a **three-dot menu** that lets you perform various actions:

* Download file
* View file in Immodio
