Master data in the object

In order for Immodio to be able to correctly prepare the heating costs and hot water bill, the technical master data of the heating system must be maintained in the property. This information determines which cost types, consumption values and meter readings are relevant for billing.

The most important information is:

  • Energy sources for heating

  • Energy source for hot water supply

  • Indication of whether central heating is available

  • Central heating flow temperature

  • Indication of whether there is a gas or oil tank

  • Distribution of operating costs according to area and consumption


Energy sources for heating

The energy source for the heating indicates the energy with which the space heating of the property is operated.

This information is important because it depends on which costs and consumption values are used in the heating cost statement.

In the case of grid-bound energy sources such as natural gas, district heating or electricity, consumption is usually determined via utility bills or main meter readings. In the case of storable fuels such as heating oil, liquefied petroleum gas or pellets, it must also be taken into account how much fuel was still available at the beginning and end of the accounting period. Energy source for hot water supply

The energy source for the hot water supply indicates the energy used to generate the domestic hot water.

In many buildings, the energy source for heating and hot water is identical, so that the central heating system generates both space heating and hot water.

Central heating

The Central heating option must be activated if a common heating system supplies the entire property with heat.

Central heating has an impact on billing:

In the case of central heating, the total costs are therefore initially recorded at the property level. They are then distributed to the individual units based on the existing meters, consumption values and distribution keys.


Central heating flow temperature

If there is central heating, the flow temperature of the central heating can be maintained.

The flow temperature is the temperature of the heating water that is sent from the heating system into the heating circuit.

To do this, first select the tag "Central heating" under "Energy equipment".

Now you will be shown the input field for the flow temperature.

Important: Specifying a flow temperature is optional and usually. not necessarily necessary for heating and hot water billing. It is only needed if you do not have an exact meter reading for the total consumption for heating the hot water and need to calculate it using formula.


Gas or oil tank

The Gas/Oil Tank option should be activated when the energy source is stored in or on the property and replenished by deliveries.

This information is very important for the billing, because a distinction must be made between purchased quantity and quantity consumed for storable fuels.

Effects of the gas or oil tank – quantity and quantity consumed

In the case of heating oil, liquefied petroleum gas or pellets, the quantity purchased in the accounting year does not necessarily correspond to the quantity actually consumed in the same period. The reason for this is that the central tank stock is usually not completely empty or completely filled at the beginning and end of the billing period.

So when the tank is filled at the end of the year shortly before the billing date, this delivery has been paid for, but accordingly not yet fully consumed. Conversely, fuel can be consumed in the current year that was already purchased in the previous year. Therefore, the initial inventory must also be taken into account.

The formula is:

For the heating cost bill, the quantity consumed is generally relevant, not only the quantity purchased. In the case of heating oil, consumption is usually determined from starting stock plus deliveries minus ending stock.

If you determine the total consumption in step "5. Heating and hot water consumption", you can enter the consumed amount of the energy source as well as the cost of the consumed amount of the energy source.


Distribution of operating costs according to area and consumption

For heating and hot water costs, the Heating Costs Ordinance applies. It generally prescribes consumption-based billing. This means that heating and hot water costs may not be distributed entirely by square metre.

The Heating Costs Ordinance provides that part of the costs are distributed according to consumption and part according to area. For heating costs and hot water costs, the consumption-dependent share is generally between 50% and 70%. The remaining share is distributed by area.
