### Linking parties as central contact management and CRM

The party management in Immodio can be used far beyond simply storing contact details.

With Immodio you can build a comprehensive **CRM structure for your real estate management**. You manage information about owners, tenants, service providers and other parties centrally in one place.

This creates a central knowledge base for all people and companies with whom you work as part of your property management.

#### 1. Capture individual information and characteristics

Individual information and properties can be stored for a party.

In addition to the classic contact details, you can also document other information that is relevant to your daily work.

z. B. you can record:

* which services or activities a party offers,
* which individual properties or characteristics are relevant for those involved,
* what additional information you need for collaboration.

So you can adapt party management to your own processes and requirements.

**1.1 Document services**

Especially with service providers, you can specify which services they offer for which properties and units.

For example, you can document that a company or contact person takes on activities in the following areas:

* cleaning,
* garden maintenance,
* caretaker service,
* plumbing work,
* Electrical work.

This creates a separate directory of your service providers and contacts in Immodio.

Do you need e.g. B. a craftsman or service provider for a specific activity, the information stored about a person involved can help you find the right contact person more quickly.

#### 2. Document comments centrally

**Comments** can also be left for those involved.

Comments are suitable for documenting additional information, notes or notes about a party.

In this way, important information can be recorded centrally by the respective parties and can be traced again later.

Instead of managing information about contact persons in various notes, emails or other systems, relevant information can be documented directly in Immodio.

To delete an added comment, click on the menu displayed to the right of the comment. A message dialog opens in which you can confirm the deletion of the comment.

#### 3. Shortcuts

**3.1 Link parties to real estate**

This allows you to see directly from a property which people or companies are connected to it. For example, a cleaning company can be linked to a property if it carries out stairwell cleaning there, or a tradesman can be linked to a unit if he regularly carries out work in this unit.

**3.2 Link parties to parties**

Links between those involved are also possible. In this way, relationships between people and companies can be mapped in Immodio.

#### Link person

Click on the person involved and navigate to the “**People**” tab. By clicking on the “Link person” button, you now have the option of linking people from a list of all parties created in Immodio.

#### Select person

EA list of all the parties you have stored in Immodio opens. From this list, select the desired party that you would like to link to the party currently being processed.

**Select type**

You have the option to choose from three different types.

**DATEV party number and amount of participation**

If you link a person to a company as a **shareholder**, you can optionally store the **DATEV party number**.

The party number is used so that your tax advisor can clearly assign a shareholder when processing in DATEV. When preparing your income and expenses for DATEV export, Immodio takes this information into account so that the data can be prepared and processed efficiently for your tax advisor.

Entering the DATEV party number is **optional**.

EMaintaining the party number is particularly useful if you link a person under **Involved** as a partner to a company and also use the DATEV export of your income and expenses for this company (this is usually the case with your own company, for which you also prepare the accounting in Immodio with the income and expenses).

The DATEV party number must correspond to the official number from the declaration of determination and may not be assigned arbitrarily. If you do not know the DATEV party number, please contact your tax advisor.

If you do not use the [**DATEV Export**](https://help.immodio.app/en-start/guides-group/income-and-expenses/datev-export) for the linked company, the field can remain empty.

**Amount of participation**

In addition to the DATEV party number, you also have the option of entering the corresponding amount of the participation of the person to be linked.

If you use the [**DATEV export**](https://help.immodio.app/en-start/guides-group/income-and-expenses/datev-export), the amount of the participation should be maintained accordingly.

When linking a party, **further information** can be stored. Here you can, for example, describe why the person involved is linked or what activity they undertake in this context.

This information is stored exclusively for the respective link. It is not stored centrally with the party involved. This means that different information can be stored for the same party depending on the connection.

These connections create a network of **parties, properties and units** through which connections can be quickly understood.
