Definition of tenant

A tenant is a natural or legal person who receives the right to use a unit or a room in a shared apartment from a landlord through a rental agreement in return for payment of a regular fee (rent).

If you contact your new tenant via "Viewings", all data as well as the digital self-disclosure and documents from the application are automatically transferred to the participant.

Alternatively, you can add a new tenant manually under Participants if you do not have them via "Viewings" as the new tenant.

A tenant can be created either as a person or as a company.

Creating a new tenant

General

Person

  • Provide the tenant's full first and last name.

  • In the case of persons the date of birth must be deposited**, this helps with the exact identification of the tenant in the rental agreement.

  • In addition, specify the type of employment. This has an influence on Immodio's digital lease agreement and must therefore be maintained.

Company

  • For companies, enter the full company name including the legal form (e.g. Ingenieurbüro Wellner GmbH).

Add information

When you create a new tenant, you can use the "Add more information" input field to enter important information about this tenant.

Here you have the opportunity to define and assign your own, individual information.

In Objects and Units, under "Links" the possibility of linking tenants to a property or unit, e.g. to clearly document if they use a service such as e.g. take over the stairwell cleaning there. In this way, it remains clear in Immodio who is responsible for which tasks.

Contact

  • Enter the contact details of the tenant here.

  • The provision of a telephone number or a mobile number is mandatory.

  • Please make sure that the e-mail address is spelled correctly, as the e-mail address stored here is not the right choice for digital provision of operating cost statement is used.

Address

  • Enter the tenant's full address details here.

  • Here you can, for example, document the address data of the tenant before moving into your unit or the new address data after moving out.

Tenant self-disclosure

In addition, you can document further data of the tenant in the "Tenant self-disclosure" tab.

A distinction is made between two types:

  1. If the tenant is informed via Immodio Applicant Management added: The digital tenant self-disclosure form, which the tenant filled out when applying, is automatically transferred to the participant and displayed here.

  1. If the tenant was created manually by you: In this case, you can upload your own tenant self-disclosure as a PDF file. Immodio's digital tenant self-disclosure will then not be available.

Document upload

In the "Document upload" tab, you can upload and manage all relevant documents for the tenant.

  • If a tenant has been registered via Immodio Applicant Management , the documents submitted by the tenant during the application process, such as copies of IDs, proof of creditworthiness and proof of income, are automatically deposited here.

  • If you create the tenant manually, you have the option of uploading and managing the tenant's documents independently.

  • Documents can be uploaded or deleted by you at any time.
