### Basic data (unit)

Under the **Basic data** tab, all basic information about the unit in Immodio is stored.

#### General

<table><thead><tr><th width="172.859375">Field</th><th>Explanation</th></tr></thead><tbody><tr><td>Name of the unit</td><td>This optional field allows you to identify a unit individually. For example, by an internal name, a number or an abbreviation. This makes it easier to assign and find the unit internally.<br><br>A designation is only for your internal identification and is not transmitted to an applicant or tenant during a viewing or tenancy.</td></tr><tr><td>Floor + Location + Number</td><td>Here, the location of the unit must be specified in such a way that it is clearly identifiable in the property. The information is automatically displayed in the <strong>Immodio Rental Agreement</strong> and also in the <strong>Landlord's confirmation</strong> and should therefore be complete and precise (e.g. "1st floor left" or "2nd floor apartment no. 3").<br><br>If you are renting out a single-family home, write "<strong>Single-family house</strong>" in the field.</td></tr><tr><td>Number of rooms</td><td><p>In this field, the <strong>Total number of rooms</strong> of the unit. In Germany, rooms are considered to be all living rooms with a <strong>Minimum size of about 10 m²</strong>, which are not used exclusively as kitchen, bathroom, hallway or storage room.</p><ul><li><strong>Full rooms</strong>: e.g. living room, bedroom, children's room or study room from approx. 10 m²</li><li><strong>Half rooms</strong>: Rooms between approx. 6 and 10 m², e.g. smaller study or guest rooms</li></ul><p><strong>Not to be counted</strong>: kitchen, bathroom, toilet, hallway, storage room, cellar, balcony or terrace.</p><p>In case of doubt, documents such as floor plan, exposé or declaration of division provide information about the officially recognized number of rooms.</p><p><em>Example: An apartment with kitchen, bathroom,</em> living room, bedroom, children's room and an 8 m² study <em>corresponds to <strong>3,5 rooms</strong>.</em></p></td></tr><tr><td>Condition of the unit</td><td><p>Here the (renovation) condition of the unit can be recorded. This has a direct influence on the digital Immodio rental agreement, for example, and influences whether the costs for cosmetic repairs can be passed on to the tenant.</p><p>More information on the state of the unit can be found here.</p></td></tr><tr><td>Category</td><td><p>Units can be created in the following categories: living space, commercial, parking space, usable space.</p><p>Immodio specializes in the rental and management of <strong>Living space</strong> specialized; therefore, only a rental agreement for units of the category <strong>"Housing"</strong> can be generated.</p><p>However, you can enter an existing commercial tenancy under "Create tenancy" -> "Add existing tenancy" -> "Commercial tenancy agreement", upload your own tenancy agreement there and then manage the tenancy accordingly with Immodio.</p></td></tr><tr><td>Specification</td><td>The specification of the unit has an influence on the digital Immodio rental agreement in several places and should therefore be stored accordingly accurately.</td></tr><tr><td>Property management (unit)</td><td><p>If there is a property management company for the unit that manages this unit, the property management can be entered here. The prerequisite for this is that the property management company has previously entered the <strong>"Service provider"</strong> in Immodio. Only then can it be assigned to the unit.</p><p>If you enter a property management company in the unit, this means that a property management company takes over tasks on your behalf, for example regarding renting or managing this unit. This property management is then included in the Immodio rental agreement.<br><br><img src="https://3986577705-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FDGfFw4On4r2uLklBZ5ju%2Fuploads%2FyjqSI87GQh3gGOOpT1ie%2Fimage.png?alt=media&#x26;token=5960c80d-809e-4a5f-9d6e-016319f8c2e2" alt=""></p></td></tr><tr><td>Property management (separate property)</td><td><p>If the property is a condominium owners' association (WEG), a special property management (SEV) can be deposited here. The prerequisite for this is that SEV has previously been subordinated to participants with the type <strong>"Service provider"</strong> in Immodio. Only then can it be assigned to the unit.<br></p><p><em>Please note the difference between a property management company (private property) and a condominium management:</em></p><ul><li>If you enter a property management company (separate property) in the unit, this means that a property management company takes over tasks on your behalf, for example with regard to renting or management. This property management is then included in the Immodio rental agreement.</li><li>A condominium management, unlike a special property management, serves to manage the common property and has no effect on the Immodio rental agreement.<br><br><img src="https://3986577705-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FDGfFw4On4r2uLklBZ5ju%2Fuploads%2F6sffIPAMZNZOzun0Q39I%2Fimage.png?alt=media&#x26;token=81b93c02-2c7c-48f5-8bdd-c16d6da6a2bc" alt=""></li></ul></td></tr><tr><td>Owner (unit)</td><td><p>Here, the owner of the unit must be deposited if the associated property belongs to a condominium. The prerequisite for this is that it has previously been entered under Participants with the type <strong>"Owner"</strong> in Immodio.</p><p><br>If an owner has already been entered in the corresponding property (i.e. the property belongs to an owner and not a WEG), then this owner is already defined in the unit by default.<br><br><img src="https://3986577705-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FDGfFw4On4r2uLklBZ5ju%2Fuploads%2FfQyDYFiDHrCk7KwANf4w%2Fimage.png?alt=media&#x26;token=6c433324-3cce-47ed-afc8-fcf828651a11" alt=""></p></td></tr><tr><td>Co-ownership share of the unit (optional)</td><td><p>If the unit is a condominium, the co-ownership shares of the unit can be recorded here. You can usually find this information in the declaration of division or the annual statement of your WEG. Specifying a co-ownership share is optional.</p><p>The advantage of maintaining these shares is that they are then automatically listed in Immodio's digital lease agreement, which can avoid any disputes during the utility bill.<br></p></td></tr><tr><td>The unit is a granny flat</td><td><p>A <strong>Granny flat</strong> is a separate apartment in a building that is <strong>Owner self-occupying</strong> and does not comprise more than a total of two apartments.</p><p>If your unit is a granny flat, a tick must be ticked here, as this has an influence on the Immodio rental agreement in several places.</p></td></tr><tr><td>The unit is close to a busy road</td><td>If a tick is ticked here, a corresponding clause is included in the Immodio rental agreement, which describes the location of the leased property. This helps to avoid possible misunderstandings or disputes with the tenant.</td></tr><tr><td>The unit is located near a railway track</td><td>If a tick is ticked here, a corresponding clause is included in the Immodio rental agreement that describes the location of the leased property. This helps to avoid possible misunderstandings or disputes with the tenant.</td></tr></tbody></table>

#### Area

All area specifications are optional in Immodio. The Immodio rental agreement is optimized regardless of an indication of the living space. However, it is advisable to specify at least the **living space** and the **heatable area**, as these are usually are necessary for Immodio's operating cost accounting.

1. The **living space** indicates the total usable living space of the unit in square meters. Immodio recommends making this information, as it e.g. is relevant for rent increases and utility bills.
2. The **heatable area** corresponds to the living area of a unit minus all non-heatable components, such as terraces or rooms without radiators. This information serves to calculate the operating costs more accurately and is particularly important, as the billing of heating costs is usually based on the area that can be heated.
3. In addition, the following space information can be provided, which has no influence on the Immodio rental agreement, but only serves your internal documentation:\
   a) **Area balcony / terrace**\
   b) **Area garden**\
   c) **Usable area:** Usable area is understood to be all areas that do not belong to the living space, but are nevertheless intended for use, such as basements, attics

#### Rooms

For complete documentation of a unit, all associated rooms are recorded. This includes both the main usable areas and ancillary rooms such as cellars or attics as well as outdoor areas such as terraces, loggia or balconies. The room names should be chosen in a clear and comprehensible way, if possible based on the terms in the floor plan or the building documents (e.g. living room, bedroom 1, children's room, bedroom 2, bathroom, guest toilet, hallway, cellar no. 5, attic no. 6).

In the case of ancillary rooms outside the actual residential unit, such as basement or attic compartments, clear numbering is particularly important in order to avoid confusion and to document the assignment in a legally secure manner.
