Work with tasks in Immodio

With the tasks in Immodio, you can not only record individual activities. Task management is designed to structure workflows around your real estate and to clearly map even more complex plans.

Tasks can be linked to objects and units, divided into several work steps and related to other tasks.

At the same time, the Dashboard ensures that pending and due tasks are visible immediately after logging in.

Many tasks in real estate management are directly related to a specific property or a single unit.

A task can therefore be assigned to an property in Immodio and, if necessary, to a unit.

For example, you can create tasks such as:

  • Organize heating maintenance for a property

  • Call handyman for damage in a specific apartment

  • Check smoke detectors in a unit

  • Order a new stairwell cleaning for a property

The assignment makes it possible to trace at any time to which property a task belongs.

Especially with several objects, this makes daily work easier, as tasks can be filtered specifically by objects and units.

Break down larger tasks into individual to-dos

Not every task can be completed in a single step.

For more extensive tasks, you can therefore create to-dos. These to-dos result in subordinate tasks that can be used to divide a larger task into individual work steps.

Example: Edit water damage

The overarching task is: Edit water damage in apartment 3rd floor

This can result in the following to-dos or subordinate tasks, for example:

  1. Check damage on site

  2. Take photos of the damage

  3. Contact craftsmen

  4. Check the offer

  5. Arrange a repair appointment

  6. Check execution

Instead of collecting all information and work steps in a single task, you can divide the entire process in a structured way. This makes it possible to see at any time which steps have already been worked on and which activities are still pending.

To create a subtask, click on the "Plus sign" in the "To Dos" tab of the task to be edited.

Now you can directly define the task title of the subtask to be created for this purpose. This is then displayed directly below the to-dos of the task.

These so-called parent-child relationships can be used to structure tasks that belong together into one superordinate and several subordinate tasks.

This means that even complex processes and planning can be mapped in Immodio.

From individual task to complete planning

The combination of:

  • Property and unit assignment,

  • To-Dos and

  • subordinate and subordinate tasks

tasks can be used in very different ways in Immodio.

You can create a simple reminder, for example:

Check smoke detectors

However, they can also map a complete workflow, for example:

Prepare the apartment for new letting after tenant has moved out

This task can be combined with the following steps, among others:

  • Carry out apartment inspection

  • Document damage

  • Schedule repairs

  • Hire craftsmen

  • Inspect renovation work

  • Organize cleaning

  • Prepare apartment for rent

The task system can thus be used for small tasks as well as for large and interconnected processes.

Document information chronologically in comments

You can leave comments within a task.

The comments section is suitable for documenting important information and developments about a task on an ongoing basis.

The comments are collected chronologically. This creates a comprehensible history within the task.

To delete an added comment, click the menu to the right of the comment. A hint dialog opens in which you can confirm the deletion of the comment.

Example

For the task Roof repair Musterstraße 1 the following information could be documented:

  • 12.03. Contacted roofers by phone. Viewing arranged for next week.

  • 19.03. Inspection carried out. Offer will be sent by email.

  • 22.03. Offer received and checked.

  • 25.03. Order placed. Execution planned for the beginning of April.

All important information about the process is thus located directly in the corresponding task.

You don't have to track the current status of a task in different notes or other filings.

The dashboard shows what's coming up next

You don't have to open each task individually to check which activities are pending.

When you log in, the dashboard will show you the tasks that currently need your attention.

Act now

In the Act Now section, tasks are displayed where there is an immediate need for action.

For example, you can see tasks that are due today or have already passed their due date.

This way, you can see immediately after logging in which tasks should be worked on first.

Coming soon

The Coming Soon section shows tasks that are due in the near future.

This allows you to prepare for upcoming activities and appointments at an early stage.

The dashboard thus supports you not only in reacting to tasks that are already overdue, but also in planning upcoming work in good time.

Use tasks as a central source of information

A task in Immodio can thus fulfill several functions at the same time.

It documents:

  • what needs to be done,

  • for which property or unit the task is relevant,

  • by when the task should be completed,

  • which work steps the task consists of,

  • what other tasks it is related to, and

  • what information has been added in the course of processing.

This makes the task a central place for all information about an issue.

Future cooperation in the team

The comments section is also designed for future collaboration between multiple users.

In the future, it will be possible to see which user or account wrote the respective comment when a comment is made.

This allows several people to work together on tasks and understand directly in the task who has documented what information.

For example, an employee records that a service provider has been contacted. Another user can then document that the offer has been received and reviewed.

In this way, task management is increasingly becoming a central workspace for the collaborative processing of processes in Immodio.

Use tasks that fit your own processes

You decide for yourself how detailed you structure tasks in Immodio. For simple tasks, a single task is often sufficient.

For more extensive tasks, you can divide tasks into several work steps, link them together and document the progress with comments.

This allows you to adapt task management to your own workflows and clearly map both small to-dos and complex plans in Immodio.
