# Tenancies

### Tenancies

In Immodio, tenancies are the central element of your digital rental management. In the menu item **"Tenancies"** you can see an overview of all tenancies and filter them according to their current status. By clicking on the respective tenancy, details of the respective tenancy can be viewed.

**Create a tenancy**

* To document the rental of an apartment in Immodio, create a new tenancy.
* This is also necessary to draw up a rental agreement in Immodio.
* On the following page you will find step-by-step instructions on how to create a new tenancy in Immodio. In the tenancy agreement assistant, you will be guided step by step through all the important points of the tenancy and generate a legally secure and individual tenancy agreement.

You can use the **three-dot menu** to carry out various **quick actions** on the tenancy:

* **Create handover protocol**\
  Creates a digital handover protocol directly from the tenancy. The digital handover protocol is automatically transmitted to the tenant if he or she is registered in the tenant portal.
* **Open tenancy**\
  Opens the detailed view of the tenancy with all information and documents.
* **Mark tenancy as terminated**\
  Documents a termination that has taken place. The marking is used exclusively for internal documentation in Immodio and expressly has **no** legal effect. A notice of termination must be made in writing.

<summary><strong>What is the difference between a tenancy and a tenancy agreement?</strong></summary>

A tenancy in Immodio links a unit to one or more tenants. It forms the organisational basis and contains all important information and documents relating to the tenancy. Therefore, create a corresponding tenancy for each rented unit in order to be able to manage the tenancy in Immodio.

The tenancy agreement is the written agreement that sets out the framework conditions for this tenancy. In Immodio, an individual and legally secure tenancy agreement is drawn up directly when a new tenancy is created.

If you want to create a tenancy without generating a tenancy agreement (e.g. an existing tenancy or you use your own contract templates), select the option **"Add existing tenancy"** under **"Tenancies"** by clicking on **"+ Create tenancy"**. This allows you to upload your own or existing rental agreement.

#### Export rental statement

With Immodio, you can export an up-to-date rental statement of your current tenancies as a PDF or CSV file.

The rental list gives you a compact overview of your rented units, the respective tenants and the currently stored rental data. It is suitable, for example: for submission to a bank as part of a financing or for further internal evaluation of your real estate.

The rental statement lists all tenancies that have the status **"Signed"**, **"Rented"** or **"Terminated"**. All other tenancies are not included in the rental statement.

**Export rental statement**

Open the menu item **"Tenancies"**.

Then click on the button **"Rent statement"**.

A dialog opens in which you can select the desired export format:

* **PDF** – Tabular rental list as PDF with individual property blocks.
* **CSV** – Tabular rental statement as a CSV file for further processing, for example in Excel.

Select the desired file format and click "Export". The rental list is then created and downloaded.

**Information in the rental list**

The rental statement contains the following information:

| Specification                      | Declaration                                                                  |
| ---------------------------------- | ---------------------------------------------------------------------------- |
| **Property**                       | The property assigned to the tenancy.                                        |
| **Unit**                           | The rented unit within the property.                                         |
| **Square meters**                  | The area of the unit stored in Immodio.                                      |
| **Tenancy / Tenant**               | The tenant(s) assigned to the tenancy.                                       |
| **Start of Rental**                | The stored start date of the tenancy.                                        |
| **Tenants**                        | The deposited end of the tenancy.                                            |
| **Current net cold rent**          | The net cold rent currently deposited for the tenancy.                       |
| **Current Operating Costs**        | The current operating costs of the tenancy.                                  |
| **Rent adjustments**               | Up to four stored rent adjustments with date and adjusted net cold rent.     |
| **Net cold rent per square metre** | The calculated ratio of the net cold rent to the deposited area of the unit. |

The information **square metres**, **tenants**, **rent adjustments** and **net cold rent per square metre** are not mandatory. If the corresponding data is not stored in Immodio, the information in the rental statement remains empty or is displayed with "–".

**Possible use of the rental statement**

You can export e.g. Use:

* for submission to a **bank in the context of financing**,
* as an overview for **financing or business partners** or
* for your **internal evaluation and management**.

Since Immodio takes the data directly from the stored tenancies, you can create an up-to-date rental statement at any time based on your data recorded in Immodio.
