# Appointments

#### General

* Under the tab **"Dates"** you will find an overview of all viewing requests received.
* Important information is displayed for each request, such as net household income, type of employment, number of people moving in, pets, earliest move-in date or contact details.
* Based on this information, you can decide whether you want to **invite** or **decline** the interested party.

**New viewing request**

* **Invite:** Confirm the appointment request by clicking on **"Invite"**. The interested party is automatically informed in Immodio and by e-mail and invited to the viewing. He now has access to the "details" of the tour (e.g. exact address), which you have defined when creating the viewing.
* **Decline:** If you don't want to invite the prospect, click on **"Decline"**. The interested party is automatically informed via Immodio and by e-mail and receives rejection. You don't have to worry about anything.
* **Show / hide details:** Via **"Show details"** you can view all stored information about the request - such as income, number of people or pets. This allows you to make a well-founded decision as to whether the interested party should be invited to the viewing.
* **Note:** The **"Note"** button allows you to enter personal comments about the prospect.\
  These are **only visible to you** and help to keep track of everything.

* **Request documents:** After completing the viewing, you can request the applicant's application documents\*\* via **"Request documents"** – including a uniform tenant self-disclosure as well as proof of identity, creditworthiness or salary. For data protection reasons (GDPR), requesting documents is only possible **after** the viewing appointment (or on the day of the viewing).
* **Reject Applicant:** Alternatively, you have the option of **rejecting** the applicant. The applicant is automatically informed of the decision. You don't have to worry about anything.

#### Status of appointment requests

* By default, you will see **all appointment requests**.
* You can use the **filter cards** to filter the requests **according to their respective status**.

Prospective tenants can check their waiting list status in the tenant portal at any time and, if available, apply for a free time slot.
