# Tenancies

Under the "Tenancies" menu item you will find a central overview of all tenancies managed in Immodio and can create new tenancies (including rental agreements).

In Immodio, tenancies are the central element of your digital rental management. In the **"Tenancies"** menu item you see an overview of all tenancies and can filter them by their current status. Clicking a tenancy lets you view its details.

### Creating a tenancy

* To document the letting of an apartment in Immodio, create a new tenancy.
* This is also necessary in order to create a rental agreement in Immodio.
* On the following page you will find a step-by-step guide to creating a new tenancy in Immodio. The rental agreement assistant guides you step by step through all the important points of the tenancy and generates a legally sound, individual rental agreement for you.

The **three-dot menu** lets you carry out various **quick actions** for the tenancy:

* **Create handover report**\
  Creates a digital handover report directly from the tenancy. The digital handover report is transferred to the tenant automatically if they are registered in the tenant portal.
* **Open tenancy**\
  Opens the detail view of the tenancy with all information and documents.
* **Mark tenancy as terminated**\
  Documents that a termination has taken place. The marking serves solely for internal documentation in Immodio and expressly has **no** legal effect. A termination has to be made in written form.

<summary><strong>What is the difference between a tenancy and a rental agreement?</strong></summary>

A tenancy in Immodio links a unit with one or more tenants. It forms the organisational basis and holds all important information and documents relating to the rental relationship. You should therefore create a corresponding tenancy for every unit you let, in order to be able to manage it in Immodio.

The rental agreement is the written agreement that sets out the terms for this tenancy. In Immodio an individual and legally sound rental agreement is created directly when you create a new tenancy.

If you would like to create a tenancy without generating a rental agreement (for example a tenancy that already exists, or if you use your own contract templates), go to **"Tenancies"**, click **"+ Create tenancy"** and choose the option **"Add existing tenancy"**. This lets you upload your own or an existing rental agreement.

## Exporting the rent schedule

With Immodio you can export a current rent schedule of your ongoing tenancies as a PDF or CSV file.

The rent schedule gives you a compact overview of your let units, the respective tenants and the rental data currently stored. It is suitable, for example, for presenting to a bank in the context of financing or for further internal analysis of your properties.

The rent schedule lists all tenancies with the status **"Signed"**, **"Let"** or **"Terminated"**. All other tenancies are not included in the rent schedule.

### Exporting the rent schedule

Open the **"Tenancies"** menu item.

Then click the **"Rent schedule"** button.

A dialog opens in which you can select the export format you want:

* **PDF** – a tabular rent schedule as a PDF with separate blocks per property.
* **CSV** – a tabular rent schedule as a CSV file for further processing, for example in Excel.

Select the file format you want and click **"Export"**. The rent schedule is then created and downloaded.

### Details in the rent schedule

The rent schedule contains the following details:

| Detail                             | Explanation                                                                      |
| ---------------------------------- | -------------------------------------------------------------------------------- |
| **Property**                       | The property assigned to the tenancy.                                            |
| **Unit**                           | The let unit within the property.                                                |
| **Square metres**                  | The floor area of the unit stored in Immodio.                                    |
| **Tenancy / tenant**               | The tenant or tenants assigned to the tenancy.                                   |
| **Start of tenancy**               | The stored start date of the tenancy.                                            |
| **End of tenancy**                 | The stored end of the tenancy.                                                   |
| **Current net base rent**          | The net base rent currently stored for the tenancy.                              |
| **Current operating costs**        | The operating costs currently stored for the tenancy.                            |
| **Rent adjustments**               | Up to four stored rent adjustments with the date and the adjusted net base rent. |
| **Net base rent per square metre** | The calculated ratio of the net base rent to the stored floor area of the unit.  |

The details **square metres**, **end of tenancy**, **rent adjustments** and **net base rent per square metre** are not mandatory. If the corresponding data is not stored in Immodio, the entry in the rent schedule remains empty or is shown as "–".

### Possible uses of the rent schedule

You can use the export, for example:

* for presenting to a **bank in the context of financing**,
* as an overview for **financing or business partners**, or
* for your **internal analysis and management**.

Since Immodio takes the data directly from the tenancies stored, you can create a current rent schedule based on the data recorded in Immodio at any time.
