# Tenant Portal

The tenant portal is the central digital area for your tenants and prospective tenants, in which all information about the apartment application and the tenancy is provided in one place. It serves as a unified platform for communication, document sharing, and handling important processes between you and your tenants.

After the start of a tenancy, all relevant documents, such as the tenancy agreement or other documents provided, are available there at any time.

In addition, messages and information about the tenancy are displayed centrally in the tenant portal, so that all important processes can be traced in one place.

#### Features

The tenant portal has the following functions for your tenants and prospective tenants:

<table data-view="cards"><thead><tr><th></th><th></th></tr></thead><tbody><tr><td><strong>Applications</strong></td><td>During the application process, the interested party can view the current status of their application in the tenant portal at any time and digitally transmits the tenant self-disclosure and other relevant documents to you.</td></tr><tr><td><strong>Sign the rental agreement</strong></td><td>As soon as you have created a tenancy, it will be transferred to the prospective tenant portal. The tenant can check and sign the lease digitally there.</td></tr><tr><td><strong>Documents</strong></td><td>In the tenancy, the tenant sees all important documents such as – e.g. house rules,<br>Landlord's confirmation or the privacy policy. These are automatically transferred by Immodio. In the future, you will also be able to transfer your own documents.</td></tr><tr><td><strong>Communication</strong></td><td>As a landlord, you can use the Communication function to either chat with your tenants via direct message or publish notices that can be viewed by all tenants of a property in the tenant portal.</td></tr><tr><td><strong>Transmitting meter readings</strong></td><td>In the future, the tenant will be able to transmit all meter readings via the tenant portal. The values are automatically assigned to the respective unit.</td></tr><tr><td><strong>Report defects</strong></td><td>In the future, your tenant will be able to independently report defects in the rented property to you via the tenant portal.</td></tr></tbody></table>

#### Access to the tenant portal

You can see whether a tenant already has access to the tenant portal directly from the respective tenant in the menu item **"Participants"**.

* If you register your unit through Immodio Sightseeing Management a prospective tenant receives access to the tenant portal when requesting a viewing appointment. Prospective tenants can use the tenant portal to process their apartment application. If a tenancy is then created for him, this is automatically transferred to the tenant portal and the tenancy agreement can be signed digitally. Only then is the interested party listed as a tenant among the parties involved.

If there are several tenants in a tenancy, it is generally sufficient if only one of the tenants has access to the tenant portal. Documents such as the rental agreement can be signed centrally by all tenants via a common entrance. However, it is important to ensure that all information provided via the tenant portal also reaches all tenants of the tenancy.
