# Creating tasks

This page explains how to create a new task in Immodio and which information you can store with it.

{% embed url="<https://www.youtube.com/watch?v=aLDVSZmQqrw>" %}

To create a new task, open the **Tasks** menu item and click the "**Create task**" button.

<figure><img src="https://152064692-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FMmjaQ7ApHsdO9GrxyEiQ%2Fuploads%2Fgit-blob-e859c06322a26ef04be15f5be0be8b700fa03dd9%2Fimage%20(542).png?alt=media" alt=""><figcaption></figcaption></figure>

Alternatively you can record a new task at any time and from anywhere in Immodio using the **"Create task"** button at the top of the screen. This lets you capture tasks directly from the process step you are in, so that important to-dos are not lost.

<figure><img src="https://152064692-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FMmjaQ7ApHsdO9GrxyEiQ%2Fuploads%2Fgit-blob-ae40bac38ecf05d44c52047363e1b780ae18abb9%2Fimage%20(581).png?alt=media" alt=""><figcaption></figcaption></figure>

You can then record the following information about the task.

{% stepper %}
{% step %}

### Task title

The **task title** is a short, concise description of the task. It should make clear at first glance what the task is about.

<figure><img src="https://152064692-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FMmjaQ7ApHsdO9GrxyEiQ%2Fuploads%2Fgit-blob-8c57a05e0292479b6fb4b69c3781cecb5a8d6bef%2Fimage%20(541).png?alt=media" alt=""><figcaption></figcaption></figure>

Examples of task titles are:

* Arrange heating maintenance
* Check stairwell cleaning
* Inspect smoke detectors
* Obtain a quote for roof repair

A meaningful task title makes it easier to keep track, particularly when you have a large number of tasks.

<figure><img src="https://152064692-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FMmjaQ7ApHsdO9GrxyEiQ%2Fuploads%2Fgit-blob-e85a61a5ba3e12cc8823d50f94034c47832cde45%2Fimage%20(543).png?alt=media" alt=""><figcaption></figcaption></figure>

The property or unit concerned does not necessarily have to be mentioned in the title, since the filter function lets you quickly and clearly see which property or unit a task was created for.
{% endstep %}

{% step %}

### Details

In the **Details** field you can store additional information or specific instructions about the task.

<figure><img src="https://152064692-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FMmjaQ7ApHsdO9GrxyEiQ%2Fuploads%2Fgit-blob-f73342958b70156900f6a92598a34f382739a889%2Fimage%20(544).png?alt=media" alt=""><figcaption></figcaption></figure>

Use the field, for example, to describe the matter more precisely or to document important information for handling it later.

Immodio automatically adds a time stamp each time you enter something new, so that changes are documented clearly. Alternatively you can record ongoing changes to the task in the "Comments" tab. Comments can only be added once a task has been created. You can find more information about this [**here**](/en/anleitung/aufgaben/mit-aufgaben-in-immodio-arbeiten.md).
{% endstep %}

{% step %}

### Priority

A **priority** can be set for every task.

<figure><img src="https://152064692-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FMmjaQ7ApHsdO9GrxyEiQ%2Fuploads%2Fgit-blob-1159bcb73fb4e22bad9dcb0bd17d2c768d9b4d04%2Fimage%20(545).png?alt=media" alt=""><figcaption></figcaption></figure>

The options are:

* **Low**
* **Normal**
* **High**

The priority lets you assess how urgent a task is and spot important tasks more quickly.

An urgent repair can be given the priority **High**, for example, while a measure planned for the long term can be given the priority **Low**.

Priorities are shown in colour, in **red**, **yellow** or **green**, in the overview of all tasks and on the dashboard, so that they can be recognised at a glance.
{% endstep %}

{% step %}

### Dates & responsibility

#### Creation date

The **creation date** is generated automatically by Immodio when a new task is created. It provides a chronological reference and shows you when the task was created.

<figure><img src="https://152064692-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FMmjaQ7ApHsdO9GrxyEiQ%2Fuploads%2Fgit-blob-ec1fb4803ce2932fe607e0d31f8cf6e470c5d926%2Fimage%20(547).png?alt=media" alt=""><figcaption></figcaption></figure>

#### Due by

Under **Due by** you can set a specific date by which the task is to be completed.

<figure><img src="https://152064692-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FMmjaQ7ApHsdO9GrxyEiQ%2Fuploads%2Fgit-blob-18b7b774d1074c339e9bc00720d578b7510efd77%2Fimage%20(548).png?alt=media" alt=""><figcaption></figcaption></figure>

The due date supports you with scheduling and deadline management, as tasks with an upcoming due date are shown on the [**dashboard**](/en/anleitung/dashboard.md#overdue-and-upcoming-tasks) under **"Act now"**.

This lets you quickly spot upcoming and already missed deadlines.

#### Person responsible

In the **Person responsible** field you can record who is responsible for handling the task.

<figure><img src="https://152064692-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FMmjaQ7ApHsdO9GrxyEiQ%2Fuploads%2Fgit-blob-88704b6f6f66f2eb94b2ffbbf817f7f3cf825f00%2Fimage%20(549).png?alt=media" alt=""><figcaption></figcaption></figure>

#### Responsible user

<figure><img src="https://152064692-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FMmjaQ7ApHsdO9GrxyEiQ%2Fuploads%2Fgit-blob-06f817c077618fa928448a82753f951c33218a37%2Fimage%20(101).png?alt=media" alt=""><figcaption></figcaption></figure>

In the **Responsible user** field you can record which of the users you have added is responsible for handling the task. All **active** users can be selected. Once a user has been **deactivated**, no new tasks can be assigned to them.

{% hint style="info" %}
The field is only available for accounts on the **Premium plan** or **Business plan**, since managing several users is only possible from the Premium plan upwards.
{% endhint %}

*Note: Only the active users stored in user management are listed here. Your own account cannot yet be entered as the responsible user (as at 07/08/2026). Your own account can, however, be assigned as usual through the "Person responsible" field above.*
{% endstep %}

{% step %}

### Property and unit

A task can be assigned to a particular [**property**](/en/anleitung/immobilien/objekt.md) or [**unit**](/en/anleitung/immobilien/einheit.md).

<figure><img src="https://152064692-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FMmjaQ7ApHsdO9GrxyEiQ%2Fuploads%2Fgit-blob-bda5d5476a66690baaaf5c628f60b0081e151169%2Fimage%20(550).png?alt=media" alt=""><figcaption></figcaption></figure>

When creating the task, select which property it is being created for.

For example, you can assign a task to the property **Musterstraße 1**. If the task relates only to a particular apartment or other unit, you can also select the relevant unit.

Assigning tasks to a property and unit helps you organise your tasks clearly, since the task overview lets you filter tasks by the relevant property or associated unit.
{% endstep %}

{% step %}

### Photo documentation

You can optionally upload photos or PDF files for documentation. To do so, click the "Create + image" button in order to

<figure><img src="https://152064692-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FMmjaQ7ApHsdO9GrxyEiQ%2Fuploads%2Fgit-blob-b529f1c17523d186a7007b038d093977629146a9%2Fimage%20(552).png?alt=media" alt=""><figcaption></figcaption></figure>

<figure><img src="https://152064692-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FMmjaQ7ApHsdO9GrxyEiQ%2Fuploads%2Fgit-blob-247163e9585a3e437952f9f8096bc7242158a18c%2Fimage%20(551).png?alt=media" alt=""><figcaption></figcaption></figure>

The photo is stored directly with the task and is available to you together with the other information about the task.
{% endstep %}

{% step %}

### Create the task

Once you have stored all the information you need, save the task.

The task is then shown in your task overview, where it can be edited further.

Once you have created a task, further options are available to you, such as a comment function and linking further tasks or to-dos.

{% hint style="info" %}
You can find more detailed information about this [**here**](/en/anleitung/aufgaben/mit-aufgaben-in-immodio-arbeiten.md).
{% endhint %}
{% endstep %}
{% endstepper %}
