# Working with tasks in Immodio

Tasks in Immodio let you do more than record individual activities. Task management is designed to structure workflows around your properties and to represent more complex planning clearly as well.

Tasks can be linked to **properties** and **units**, divided into several work steps and related to other tasks.

At the same time the **dashboard** ensures that upcoming and due tasks are visible immediately after you log in.

### Linking tasks

Many tasks in property management relate directly to areas such as a particular property, an individual unit or a tenancy.

For example, you can create tasks such as:

* Organise heating maintenance for a property
* Call a tradesperson about damage in a particular apartment
* Inspect smoke detectors in a unit
* Reorder stairwell cleaning for a property

A task can therefore be assigned to different areas in Immodio.

**The following are available as links:**

* Properties
* Units
* Parties
* Tenancies
* Viewings
* Conversations
* Operating cost statements

By clicking "**Create link**" in the "**Links**" tab of the task, you can link a task to a wide range of data points available in Immodio.

You can also store further information, or "tags", for this link.

The assignment means it remains traceable at all times which property a task belongs to.

Linked tasks are also shown directly with the relevant property, in the unit, in the tenancy, with the party and in the viewing. This lets you open the associated record from either side.

### Dividing larger tasks into individual to-dos

Not every task can be completed in a single work step.

For more extensive tasks you can therefore create **to-dos**. These to-dos become child tasks that let you divide a larger task into individual work steps.

#### Example: handling water damage

The parent task is: **Handle water damage in the third-floor apartment**

The following to-dos, or child tasks, might arise from it:

1. Inspect the damage on site
2. Take photos of the damage
3. Contact a tradesperson
4. Review the quote
5. Arrange a repair appointment
6. Check the work carried out

Instead of gathering all the information and work steps in a single task, you can divide the whole matter up in a structured way. This makes it clear at all times which steps have already been dealt with and which activities are still outstanding.

To create a subtask, click the "**plus sign**" in the "To Dos" tab of the task you are working on.

You can now set the task title of the subtask to be created directly. It is then shown immediately under the to-dos of the task.

These **parent-child relationships** let you structure related tasks into one parent task and several child tasks.

This means complex processes and planning can also be represented in Immodio.

### From an individual task to complete planning

Through the combination of:

* property and unit assignment,
* to-dos and
* parent and child tasks

tasks in Immodio can be used in very different ways.

You can create a simple reminder, for example:

**Inspect smoke detectors**

But you can equally represent a complete workflow, for example:

**Prepare the apartment for re-letting after the tenant moves out**

Among other things, this task can be combined with the following work steps:

* Carry out the apartment handover inspection
* Document damage
* Plan repairs
* Instruct tradespeople
* Check the renovation work
* Organise cleaning
* Prepare the apartment for letting

The task system can therefore be used both for small activities and for extensive, interconnected processes.

### Documenting information chronologically in comments

You can add comments within a task.

The comment area is suitable for continuously documenting important information and developments relating to a task.

The comments are gathered chronologically. This creates a traceable history within the task.

To delete a comment you have added, click the menu shown to the right of the comment. A confirmation dialog opens in which you can confirm the deletion of the comment.

#### Example

For the task **Roof repair Musterstraße 1** the following information could be documented:

* **12/03**\
  Roofer contacted by telephone. Inspection arranged for next week.
* **19/03**\
  Inspection carried out. Quote to be sent by email.
* **22/03**\
  Quote received and reviewed.
* **25/03**\
  Order placed. Work planned for the beginning of April.

All the important information about the matter is therefore held directly in the associated task.

You do not have to look through various notes or other filing systems to find out the current status of a task.

### The dashboard shows what is coming up next

You do not have to open every task individually to check which activities are pending.

When you log in, the dashboard shows you straight away the tasks that currently need your attention.

#### Act now

The **Act now** area shows tasks where immediate action is required.

Here you see, for example, tasks that are due today or whose due date has already passed.

This lets you see immediately after logging in which tasks should be dealt with first.

#### Coming up

The **Coming up** area shows tasks that are due in the near future.

This lets you prepare for upcoming activities and deadlines in good time.

The dashboard therefore helps you not only to react to tasks that are already overdue, but to plan upcoming work in good time.

### Using tasks as a central source of information

A task in Immodio can therefore fulfil several functions at once.

It documents:

* what needs to be done,
* which property or unit the task is relevant to,
* by when the task is to be completed,
* which work steps the task consists of,
* which other tasks it is connected to, and
* which information has been added in the course of handling it.

This makes the task a central place for all information about a matter.

### Future collaboration in a team

The comment area is also designed for future collaboration between several users.

This lets several people work on tasks together and see directly in the task who documented which piece of information.

For example, one member of staff can record that a service provider has been contacted. Another user can then document that the quote has been received and reviewed.

In this way task management increasingly becomes a central workspace for handling matters collaboratively in Immodio.

### Using tasks to suit your own workflows

You decide yourself how finely you structure tasks in Immodio. For simple activities a single task is often enough.

For more extensive matters you can divide tasks into several work steps, link them to one another and document their progress in comments.

This lets you adapt task management to your own workflows and represent both small to-dos and complex planning clearly in Immodio.
