# Applications

This page explains how to use the Immodio application management to compare incoming applications including the associated documents and to select the right tenant.

#### General

* In the **"Applications"** tab you see all applications from prospective tenants who have applied for your apartment after a viewing.
* Here you can **review documents**, **compare prospective tenants**, **select a new tenant** and then **create the tenancy**.
* The **"Note"** button lets you add internal comments or observations about the application. All notes you add are visible only to you as the landlord.

**Reviewing an application**

* **Select as new tenant:** Click the "Select as new tenant" button to choose the new tenant you want. The prospective tenant is then automatically asked to reserve the apartment bindingly.
* **Reject**: Clicking the **"Reject"** button rejects the application and informs the prospective tenant about the decision automatically.
* **Review documents:** Clicking the **"Review documents"** button lets you view the application provided. If an application contains the application documents of two or more prospective tenants, they are shown one below the other.

* Clicking the prospective tenant concerned opens their application. There you can view and review all submitted documents in the **"Basic data"**, **"Tenant self-disclosure"** and **"Documents"** tabs.
* The digital tenant self-disclosure form and the uploaded documents of the tenant you select are saved automatically in Immodio. All other documents are deleted automatically and in compliance with the GDPR once the viewing has been completed successfully.
* You are also shown all additional people moving in who belong to this application. **Additional people moving in** are all those who move into the unit **in addition to the tenant** but are not intended to be parties to the rental agreement (for example the tenant's minor children).

**Creating a tenancy**

* **Create tenancy:** Once you have selected the applicant as the new tenant and they have reserved the apartment bindingly, you can use the **"Create tenancy"** button to start creating the tenancy.

All the prospective tenants' data is now saved automatically under "Parties" in Immodio and flows directly into the rental agreement. If you want to change the data, you can adjust the details under "Parties".

#### Status of applications

By default you see **all applications**. The **filter cards** let you filter the applications **by their status**.

The following statuses exist in the **Applications** area:

<table><thead><tr><th width="144">Status</th><th>Explanation</th></tr></thead><tbody><tr><td>Review</td><td><p>As soon as you have <strong>requested documents</strong> after a viewing and the applicant has submitted them, the application appears with the status <strong>"Review"</strong>.</p><p>The <strong>"View documents"</strong> button lets you view the tenant self-disclosure form and all <strong>submitted documents</strong> such as proof of creditworthiness and income.</p></td></tr><tr><td>Awaiting</td><td>When you have selected an applicant using the <strong>"Select as new tenant"</strong> button, they automatically receive a message from Immodio asking them to <strong>reserve the apartment bindingly</strong>. Until the applicant responds, the application has the status <strong>"Awaiting"</strong>.<br><br>Explanation: This reservation by the applicant is necessary because they may have applied for several apartments, so this asks whether the applicant is still interested. As the landlord you can withdraw your selection again at any time.</td></tr><tr><td>Reserved</td><td>As soon as the applicant has <strong>reserved the apartment bindingly</strong>, the application is set to the status <strong>"Reserved"</strong>.<br>You can now use the <strong>"Create tenancy"</strong> button to start the <strong>Immodio rental agreement assistant</strong> and create the rental agreement.<br><br>In doing so, the applicant expressly confirms that costs may arise if they later want to withdraw a binding reservation.</td></tr><tr><td>In progress</td><td>Once you have started <strong>creating the tenancy</strong>, the status of the application changes to <strong>"In progress"</strong>.</td></tr><tr><td>Signed</td><td>As soon as <strong>you and the tenant</strong> have <strong>signed</strong> the rental agreement, the status of the application changes to <strong>"Signed"</strong>.</td></tr><tr><td>Rejected</td><td>If you <strong>reject</strong> the application, it changes to the status <strong>"Rejected"</strong>. The applicant is informed about this automatically, so you do not have to do anything else.</td></tr><tr><td>Withdrawn</td><td>If the applicant <strong>withdraws their application themselves</strong>, it appears with the status <strong>"Withdrawn"</strong>.</td></tr></tbody></table>
