# Using an existing heating and hot water statement

### You already have a complete heating cost statement

Choose **"existing"** if the heating and hot water statement was produced by an external service provider and you already have the finished statement.

This is the case, for example, if you work with a metering or billing service provider.

In this case you do not have to produce a heating cost statement yourself in Immodio. Instead you can record the items shown in the finished statement under [**Income and expenses**](/en/anleitung/einnahmen-und-ausgaben.md) and then post them directly to the respective tenancies.

## Change of tenant with an external heating cost statement

If you state that an external heating and hot water statement already exists, Immodio automatically checks whether there was a **change of tenant** during the selected settlement period.

A change of tenant is particularly important for the heating cost statement, because where a change occurs within the settlement period the heating and hot water costs have to be split between the outgoing and incoming tenant to the day.

### Option: yes, the change of tenant was taken into account

Choose **"Yes"** if the change of tenant was already taken into account in the heating cost statement you have.

In this case the statement is correctly prepared. You can simply post the individual items of the heating cost statement directly to the individual tenancies under **Income and expenses**.

### Option: no, the change of tenant was not taken into account

Choose **No** if the change of tenant was not taken into account in the external heating cost statement.

In this case the existing heating cost statement is not sufficient for the operating cost statement, since the heating and hot water costs were not allocated correctly to the tenancies concerned.

You then have to produce the heating cost statement yourself in Immodio. This is the only way to ensure that the costs are allocated correctly between the outgoing and the incoming tenant.

### Why is this check important?

Where a tenant changes within the settlement period, it is not sufficient to assign the costs only to a unit as a whole. The costs also have to be split to the day between the respective periods of use of the current and the previous tenant.

For a change of user, the Heating Costs Ordinance provides, among other things, that an interim reading has to be taken. If an interim reading is not possible or does not produce a sufficiently accurate result because of its timing, the costs can be split using recognised substitute methods, for example proportionally by time or by degree day figures.
