# Documents

The "Documents" menu item serves as a central overview of all files, photos and paperwork assigned to your units, properties or tenancies.

Under the **"Documents"** menu item you will find a central overview of all files, photos and paperwork stored in Immodio that have been recorded in the individual categories of your units, properties or parties, or in processes such as re-lettings and apartment handovers, or generated by Immodio. This lets you access your property-related documents at any time and from anywhere.

* You can also upload further documents within the relevant category in order to manage all important paperwork centrally in Immodio.
* By default there are what are known as **system folders** (for example for defects, tenancies and entries). These folders and their structure are **predefined and cannot be changed**, as they reflect the internal data structure in your Immodio database.
* You can, however, create your own folders and folder structures at any time in the **"Further documents"** area in order to organise additional paperwork clearly. There are two ways to create your own folders:
  * a) Your own folders can be created directly at the first level under "Further documents".
  * b) Whenever you are in the system folders created by default and a "Further documents" folder exists there (for example "All documents" / "Units" / "Apartment building 2 - 1st floor left" / "Further documents").
* Using the magnifier icon you can search the current level for particular folders or files.

You can create your own folders and folder structures at any time in the **"Further documents"** area in order to organise additional paperwork clearly. There are two ways to create your own folders:

* a) Your own folders can be created directly at the first level under "Further documents".
* b) Whenever you are in the system folders created by default and a "Further documents" folder exists there (for example "All documents" / "Units" / "Apartment building 2 - 1st floor left" / "Further documents").

#### **How to do it**:

1. Click **"+ New folder"**.
2. Enter the **folder name** you want in the field.
3. Confirm with **Save**.

#### How to do it

1. Click the **"** **three-dot menu"** of a folder you created yourself.
2. Click **"Rename folder"**.
3. Then enter the folder name you want.
4. Confirm the change with **"Rename"**.

Please note that only folders you have created yourself can be renamed. System folders keep their predefined names for technical reasons.

<summary><strong>Adding files</strong></summary>

You can upload your own files, but not in all **system folders**. For example, **only one** set of house rules can be stored per property. In tenancy folders, documents can only be uploaded through the tenancy concerned. Files can be uploaded in the following ways:

* **Camera function:** Take a photo directly with the camera, for example a picture of a document.
* **Gallery:** Select an existing file or photo from your photo gallery.
* **Drag & drop:** Simply drag a PDF file into the field provided (currently only PDF files are supported).
* **File selection:** Click the drag-and-drop field to open the file explorer and select the PDF file you want manually (currently only PDF files are supported).

* Download the file
* Display the file in Immodio
