# Basic data (unit)

This page gives you a detailed explanation of all the fields in the "Basic data" tab of a unit.

## Basic data (unit)

Under the **Basic data** tab, all basic information about the unit is stored in Immodio.

### General

<table><thead><tr><th width="172.859375">Field</th><th>Explanation</th></tr></thead><tbody><tr><td>Name of the unit</td><td>This optional field lets you label a unit individually, for example with an internal name, a number or an abbreviation. This makes it easier to assign and find the unit internally.<br><br>A name is only for your internal labelling and is not sent to an applicant or tenant, either for a viewing or for a tenancy.</td></tr><tr><td>Floor + position + number</td><td>The location of the unit has to be stated here in a way that identifies it unambiguously within the property. The information is used automatically in the <strong>Immodio rental agreement</strong> and also in the <strong>landlord confirmation of residence</strong>, and should therefore be complete and precise (for example "1st floor left" or "2nd floor apartment no. 3").<br><br>If you are letting a whole house, write "<strong>detached house</strong>", "<strong>terraced house</strong>" or "<strong>semi-detached house</strong>" in the field, for example.</td></tr><tr><td>Number of rooms</td><td><p>The <strong>total number of rooms</strong> in the unit is entered in this field. In Germany, rooms are all living spaces with a <strong>minimum size of about 10 m²</strong> that are not used exclusively as a kitchen, bathroom, hallway or storage room.</p><ul><li><strong>Full rooms</strong>: for example living room, bedroom, children's room or study from about 10 m²</li><li><strong>Half rooms</strong>: rooms between about 6 and 10 m², for example smaller studies or guest rooms</li></ul><p><strong>Not counted</strong>: kitchen, bathroom, WC, hallway, storage room, cellar, balcony or terrace.</p><p>If in doubt, documents such as the floor plan, sales brochure or declaration of division show the officially recognised number of rooms.</p><p><em>Example: An apartment with a kitchen, bathroom,</em> living room, bedroom, children's room and an 8 m² study <em>corresponds to <strong>3.5 rooms</strong>.</em></p></td></tr><tr><td>Condition of the unit</td><td><p>The (renovation) condition of the unit can be recorded here. It has a direct effect on the digital Immodio rental agreement, for example, and determines whether the costs of decorative repairs can be passed on to the tenant.</p><p>You can find more information on the condition of the unit here.</p></td></tr><tr><td>Category</td><td><p>Units can be created in the following categories: residential space, commercial, parking space, utility space.</p><p>Immodio specialises in letting and managing <strong>residential space</strong>; a rental agreement can therefore currently only be generated for units in the <strong>"residential space"</strong> category.</p><p>You can, however, record an existing commercial tenancy under "Create tenancy" -> "Add existing tenancy" -> "Commercial lease agreement", upload your own rental agreement there and then manage the tenancy with Immodio accordingly.</p></td></tr><tr><td>Specification</td><td>The specification of the unit affects the digital Immodio rental agreement in several places and should therefore be stored accurately.</td></tr><tr><td>Property management (unit)</td><td><p>If there is a property management company that manages this unit, it can be recorded here. The prerequisite is that the property management company has previously been created in Immodio under Parties with the type <strong>"Service provider"</strong>. Only then can it be assigned to the unit.</p><p>Entering a property management company in the unit means that a management company takes on tasks on your behalf for this unit, for example relating to letting or management. This property management company is then included in the Immodio rental agreement.<br><br><img src="https://3986577705-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FDGfFw4On4r2uLklBZ5ju%2Fuploads%2FyjqSI87GQh3gGOOpT1ie%2Fimage.png?alt=media&#x26;token=5960c80d-809e-4a5f-9d6e-016319f8c2e2" alt=""></p></td></tr><tr><td>Property management (separate property)</td><td><p>If the property is a condominium owners' association (WEG), a separate-property management company (SEV) can be stored here. The prerequisite is that the SEV has previously been created in Immodio under Parties with the type <strong>"Service provider"</strong>. Only then can it be assigned to the unit.<br></p><p><em>Please note the difference between property management (separate property) and WEG management:</em></p><ul><li>Entering property management (separate property) in the unit means that a management company takes on tasks on your behalf, for example relating to letting or management. This property management company is then included in the Immodio rental agreement.</li><li>Unlike separate-property management, WEG management serves to manage the common property and has no effect on the Immodio rental agreement.<br><br><img src="https://3986577705-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FDGfFw4On4r2uLklBZ5ju%2Fuploads%2F6sffIPAMZNZOzun0Q39I%2Fimage.png?alt=media&#x26;token=81b93c02-2c7c-48f5-8bdd-c16d6da6a2bc" alt=""></li></ul></td></tr><tr><td>Owner (unit)</td><td><p>The owner of the unit has to be stored here if the associated property belongs to a WEG. The prerequisite is that they have previously been created in Immodio under Parties with the type <strong>"Owner"</strong>.</p><p><br>If an owner has already been entered in the associated property (that is, the property belongs to one owner and not to a WEG), that owner is already set by default in the unit.<br><br><img src="https://3986577705-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FDGfFw4On4r2uLklBZ5ju%2Fuploads%2FfQyDYFiDHrCk7KwANf4w%2Fimage.png?alt=media&#x26;token=6c433324-3cce-47ed-afc8-fcf828651a11" alt=""></p></td></tr><tr><td>Co-ownership share of the unit (optional)</td><td><p>If the unit is part of a WEG, the co-ownership shares of the unit can be recorded here. You will usually find these figures in the declaration of division or in your WEG's annual statement. Stating a co-ownership share is optional.</p><p>The advantage of maintaining these shares is that they are then listed automatically in the digital Immodio rental agreement, which can avoid possible disputes over the operating cost statement.<br></p></td></tr><tr><td>The unit is a granny flat</td><td><p>A <strong>granny flat</strong> is a separate apartment in a building that is <strong>occupied by the owner themselves</strong> and contains no more than two apartments in total.</p><p>If your unit is a granny flat, this box has to be ticked, as it affects the Immodio rental agreement in several places.</p></td></tr><tr><td>The unit is located near a busy road</td><td>If this box is ticked, a corresponding clause describing the location of the rented property is included in the Immodio rental agreement. This helps avoid possible misunderstandings or disputes with the tenant.</td></tr><tr><td>The unit is located near a railway line</td><td>If this box is ticked, a corresponding clause describing the location of the rented property is included in the Immodio rental agreement. ### Floor area

All floor area details are optional in Immodio. The Immodio rental agreement is optimised regardless of whether the living space is stated. It is advisable, however, to state at least the **living space** and the **heatable area**, as these are usually needed for the Immodio operating cost statement.

1. The **living space** states the total usable living space of the unit in square metres. Immodio recommends providing this figure, as it is relevant for rent increases and operating cost statements, for example.
2. The **heatable area** is the living space of a unit less all non-heatable parts, such as terraces or rooms without radiators. This figure serves to calculate operating costs more precisely and is particularly important because heating costs are usually billed on the basis of the heatable area.
3. In addition, the following floor area details can be provided; they have no effect on the Immodio rental agreement and serve only for your internal documentation:\
   a) **Balcony / terrace area**\
   b) **Garden area**\
   c) **Utility area:** Utility area covers all areas that are not part of the living space but are nevertheless intended for use, such as cellars and attics

For complete documentation of a unit, all associated rooms are recorded. These include both the main usable areas and ancillary rooms such as a cellar or attic, as well as outdoor areas such as a terrace, loggia or balcony. The room names should be chosen clearly and comprehensibly, ideally following the terms used in the floor plan or building documents (for example living room, bedroom 1, children's room, bedroom 2, bathroom, guest WC, hallway, cellar no. 5, attic no. 6).

For ancillary rooms outside the actual residential unit, such as cellar or attic compartments, clear numbering is particularly important in order to avoid confusion and document the assignment with legal certainty.
