# Creating a defect

This page explains how to create a new defect in Immodio and document it in a structured way.

* Defects that affect the whole property (for example communal areas or outdoor areas) are created in the property.
* Defects within a unit (for example damage in an apartment) are recorded directly in the unit concerned.

### Create a defect

The "+ Create defect" button lets you create a new defect.

### Where is the defect?

First select the location of the defect, for example a specific room or area within a property or unit.

* Select from the existing defined locations.
* If the relevant location does not exist, you can enter an individual location and confirm it by clicking **"Add"** (clicking **"Add"** is necessary; simply typing the location into the "Add location" field is not enough).

### What is defective?

State **which component or area is affected**. Predefined defect types are available for this.

* Select the appropriate defect type.
* You can optionally enter a new defect type and confirm it by clicking **"Add"** (clicking **"Add"** is necessary; simply typing the defect type into the "Add defect type" field is not enough).

### Condition

Describe the current condition of the defect. This helps later when assessing and dealing with it.

* Select the condition from the list provided.
* You can optionally enter an individual condition and confirm it by clicking **"Add"** (clicking **"Add"** is necessary; simply typing the condition into the "Add condition" field is not enough).
* In the **"Details"** field (optional) you can add further information about the defect. If you add further details later, they are listed chronologically automatically.

### Further information (optional)

You can store further details:

* **Party responsible:** The person or party who caused the defect.
* **Reported by:** The person or party who reported the defect.
* **Person in charge:** The person or party responsible for remedying it.

These details are optional but can make later tracking and the assignment of responsibility easier.

#### Responsible user

In the **Responsible user** field you can record which of the users you have added is responsible for dealing with the defect. All **active** users can be selected. Once a user has been **deactivated**, no new defects can be assigned to them.

The field is only available for accounts on the **Premium plan** or **Business plan**, since managing several users is only possible from the Premium plan upwards.

*Note: Only the active users stored in user management are listed here. Your own account cannot yet be entered as the responsible user (as at 07/08/2026). Your own account can, however, be assigned as usual through the "Person in charge" field above.*

### Save the defect

Clicking **"Create"** saves the defect and adds it to the overview.

* If you want to document a photo of the defect straight away, use the **"Create + image"** option.
* You can then record further defects or return to the overview.

## Working with defects

Once a defect has been created, the entire process of remedying the damage can be documented and worked through digitally, in a structured way and step by step. Further **images** can be **uploaded** at any time, **comments** on the current progress recorded, and individual to-dos or [**tasks linked directly to the defect**](/en/anleitung/immobilien/mangel/mangel-mit-aufgaben-verknupfen-to-dos.md).

This keeps all information and work steps together centrally and makes progress traceable at all times.

### Adding files and photos

In the **"Files"** tab you can add further photos, documents and evidence relating to the defect at any time.

This is useful, for example, for:

* additional photos of the damage
* quotes from tradespeople
* invoices and receipts
* documentation of the repair progress
* photos after the defect has been remedied

#### Adding files

1. Open the **"Files"** tab.
2. Choose one of the available options:
   * **Camera:** Take a new photo directly.
   * **Gallery:** Select an existing photo or file.
   * **Drag & drop:** Drag the file you want into the upload field.
3. Then click **"Save"**.

The uploaded files remain permanently assigned to the defect concerned.

### Documenting progress with comments

The **"Comments"** tab lets you document the current progress of remedying the defect on an ongoing basis.

Comments are suitable for the following information, for example:

* The tradesperson has been contacted.
* An inspection appointment has been arranged.
* A quote has been received.
* Spare parts have been ordered.
* The repair has been carried out.
* A final check is still required.

#### Adding a comment

1. Open the **"Comments"** tab.
2. Enter your note in the **"Add comment"** field.
3. Click the "Add" button

### Adding tasks or to-dos for this defect

The **"To Dos"** tab lets you add tasks connected with this defect.

The following tasks are suitable, for example:

* contacting a tradesperson,
* arranging an inspection appointment
* or reporting damage to the insurance company.
