# Linking a defect to tasks (to-dos)

In Immodio you can link defects directly to the tasks that arise from them. This keeps not only the defect itself in view, but also all the work steps that result from it.

A to-do is a task connected with a particular defect. This can be instructing a tradesperson, querying something with a service provider or arranging an appointment with the tenant, for example.

**Example:** Water damage has occurred in the bathroom of one of your units. This defect gives rise to the tasks of informing the insurance company, obtaining one or more quotes from tradespeople, and coordinating and documenting the subsequent repair work with photos.

### Requirement

Before you can link tasks to a defect, the defect has to have been created in Immodio.

A new task can then be created directly in the defect and linked to it automatically. Alternatively you can select an existing task and connect it to the defect afterwards. Below you will find a step-by-step guide:

## 1. Creating a new task for a defect

{% stepper %}
{% step %}

### Open the defect

First open the defect you want.

You can open a defect through the **"Properties"** area, for example. There defects can be viewed and edited both at property and at unit level.

Click the defect concerned to open the detail view.
{% endstep %}

{% step %}

### Open the "To Dos" tab

In the detail view of the defect you find the **"To Dos"** tab.

<figure><img src="https://152064692-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FMmjaQ7ApHsdO9GrxyEiQ%2Fuploads%2Fgit-blob-7d7b4ad8d7d1d96eb341aadfe49194eae8c53033%2Fimage%20(592).png?alt=media" alt=""><figcaption></figcaption></figure>

All tasks already linked to this defect are shown there. If no tasks are linked to the defect yet, a message appears:

> **No tasks have been linked as a to-do yet.**

{% hint style="info" %}
From here you can either create a new task or link an existing task to the defect.
{% endhint %}
{% endstep %}

{% step %}

### Create a new task from a defect

To create a new task from within a defect, click the **plus icon** in the **"To Dos"** tab.

<figure><img src="https://152064692-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FMmjaQ7ApHsdO9GrxyEiQ%2Fuploads%2Fgit-blob-5097ee48975ec9b26bad385f0b35e8d661b70660%2Fimage%20(593).png?alt=media" alt=""><figcaption></figcaption></figure>

An input field opens in which you can set the title of the new task. Enter a short, clear task name, for example:

<figure><img src="https://152064692-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FMmjaQ7ApHsdO9GrxyEiQ%2Fuploads%2Fgit-blob-1ea320e46549fd72f358ed8d076a9696e761e88b%2Fimage%20(595).png?alt=media" alt=""><figcaption></figcaption></figure>

Then click **"Add"**.

The task is created and linked directly to the defect. It now appears as a task in the **"To Dos"** tab of the defect.

<figure><img src="https://152064692-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FMmjaQ7ApHsdO9GrxyEiQ%2Fuploads%2Fgit-blob-51de7367945a9d9d91d2cb2c7cf88d21c0d64622%2Fimage%20(597).png?alt=media" alt=""><figcaption></figcaption></figure>

Then complete your work on the defect by clicking **"Save"**.
{% endstep %}
{% endstepper %}

## 2. Linking an existing task to a defect

{% stepper %}
{% step %}

### Open the defect

First open the defect you want.

You can open a defect through the **"Properties"** area, for example. There defects can be viewed and edited both at property and at unit level.

Click the defect concerned to open the detail view.
{% endstep %}

{% step %}

### Open the "To Dos" tab

In the detail view of the defect you find the **"To Dos"** tab.

<figure><img src="https://152064692-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FMmjaQ7ApHsdO9GrxyEiQ%2Fuploads%2Fgit-blob-7d7b4ad8d7d1d96eb341aadfe49194eae8c53033%2Fimage%20(592).png?alt=media" alt=""><figcaption></figcaption></figure>

All tasks already linked to this defect are shown there. If no tasks are linked to the defect yet, a message appears:

> **No tasks have been linked as a to-do yet.**

{% hint style="info" %}
From here you can either create a new task or link an existing task to the defect.
{% endhint %}
{% endstep %}

{% step %}

### Link an existing task to a defect

To link a defect to an existing task, click the **link icon** in the **"To Dos"** tab.

<figure><img src="https://152064692-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FMmjaQ7ApHsdO9GrxyEiQ%2Fuploads%2Fgit-blob-c603e9a5f30fb0c8f06c670be9cb40ad5f5c2a02%2Fimage%20(599).png?alt=media" alt=""><figcaption></figcaption></figure>

A searchable list of all the tasks stored in Immodio opens.

<figure><img src="https://152064692-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FMmjaQ7ApHsdO9GrxyEiQ%2Fuploads%2Fgit-blob-7854272f7db4f19ddb0397b86a5288487e8e23c5%2Fimage%20(600).png?alt=media" alt=""><figcaption></figcaption></figure>

Select the appropriate task from the list to link it to the defect. The selected task is then shown in the **"To Dos"** tab and is linked to the defect.

<figure><img src="https://152064692-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FMmjaQ7ApHsdO9GrxyEiQ%2Fuploads%2Fgit-blob-51de7367945a9d9d91d2cb2c7cf88d21c0d64622%2Fimage%20(597).png?alt=media" alt=""><figcaption></figcaption></figure>

Then complete your work on the defect by clicking **"Save"**.
{% endstep %}
{% endstepper %}

### Automatic linking in the task

If a task is created directly from a defect or linked to one, that task is automatically linked to the associated property and the relevant unit.

<figure><img src="https://152064692-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FMmjaQ7ApHsdO9GrxyEiQ%2Fuploads%2Fgit-blob-dc5602ec4982e9f1f2e1f6189b7f9aa30ceadc99%2Fimage%20(661).png?alt=media" alt=""><figcaption></figcaption></figure>

This means the task can later be filtered specifically by property and unit in the **"Tasks"** area and worked through accordingly.

### The difference between a defect and a task

A [**defect**](/en/anleitung/immobilien/mangel.md) describes the condition identified, for example damage, a fault or a missing item. These are usually documented when creating the [**handover report**](/en/anleitung/ubergabeprotokolle.md) or reported to you by your tenant during the year.

A [**task**](/en/anleitung/aufgaben.md), in the context of a defect, describes what has to be done to deal with that defect:

| Defect                       | Resulting task                                                                                     |
| ---------------------------- | -------------------------------------------------------------------------------------------------- |
| Smoke detector missing | Contact a service provider and order a new smoke detector. |
| Window handle is broken | Instruct a tradesperson or inform the property management company. |
| Water damage in the bathroom | Inform the insurance company, obtain quotes from tradespeople, coordinate and document the repair. |

The link keeps it traceable which tasks belong to which defect and lets you work through all the to-dos systematically.
