# Changes (tenancy)

This page explains how you can record adjustments to a tenancy in the "Changes" tab.

In the **"Changes"** tab you can record **adjustments to a tenancy**.

* The changes are also visible to your tenants in the tenant portal in the tenancy concerned.
* For adjustments to the net base rent and the operating costs, only the current values and the last two changes are visible to your tenants.

The adjustments serve only to document and manage your tenancies in Immodio. You have to inform the tenant about adjustments yourself and observe the statutory provisions when doing so.

### Recording a termination

**"Record termination"** lets you document that a tenancy has been terminated.

1. Select who gave notice:

* **Landlord** – if the termination is by the landlord
* **Tenant** – if the tenant terminates the tenancy

2. Then enter the **date of termination**.

* If a **minimum rental period** is stored in the rental agreement, the agreed date is shown at this point. Ordinary termination can generally only take effect **once the minimum rental period has expired**. The date shown serves as guidance on the earliest possible end of the tenancy.

3. Click **"Save"** to document the termination in the system. The termination is then saved in the tenancy and the status is updated accordingly. The status changes to "Terminated" if the termination date is in the future and changes automatically to "Ended" if the termination date is in the past.

Marking a tenancy as "terminated" in Immodio serves solely for internal documentation and has no legal effect. A valid termination has to be made in written form under Section 568 BGB. You can find suitable termination templates for landlords in the "[Templates](/en/anleitung/vorlagen.md)" area.

### Adjusting the net base rent

**"Adjust net base rent"** lets you document a change in the monthly net base rent. This may be necessary for a rent increase, a rent reduction or an adjustment after modernisation, for example. The adjustment is saved with an **effective date** and documented traceably for you in the rent history under "Details" in the tenancy.

1. In the **"New net base rent"** field, enter the future monthly rent amount.

* Below the input field you also see the **net base rent currently in force**, so that you can follow the change.

2. Then state **from which date** the new net base rent is to apply.
3. Click **"Save"** to document the adjustment. The adjustment is saved with an **effective date** and documented traceably for you in the rent history under "Details" in the tenancy.

#### Notes on the comparative rent

If a rent increase based on the **comparative rent** has been agreed, Immodio shows corresponding notes if the planned adjustment might breach **statutory rent limits** (for this, any rent regulation that applies has to be maintained in the [basic data](/en/anleitung/immobilien/objekt/grunddaten-objekt.md) of the property).

* **Earliest possible date for a rent increase:** A [**rent increase**](/en/anleitung/mietverhaltnisse/mietverhaltnis-anlegen/mietanpassung/vergleichsmiete.md#deadlines) under Section 558 (1) BGB is permissible at the earliest 15 months after the last rent increase. Immodio calculates this date for you automatically and shows a note if the date chosen is too early.
* **Capping limit:** Immodio automatically checks the [**capping limit**](/en/anleitung/immobilien/objekt/grunddaten-objekt/mietpreisbremse-und-kappungsgrenze.md), which provides that the rent may rise by a maximum of 15% or 20% within three years (depending on the property's master data); if this limit is exceeded, a corresponding note appears (for this, any rent regulation that applies has to be maintained in the [basic data](/en/anleitung/immobilien/objekt/grunddaten-objekt.md) of the property).

### Adjusting the operating costs

**"Adjust operating costs"** lets you document changes to the monthly advance payments for operating costs or to the flat rate for operating costs.

1. In the **"New operating costs"** field, enter the future monthly amount of the operating costs (advance payment or flat rate).

* Below the input field you also see the **operating costs currently in force**, so that you can follow the change.

2. Then state **from which date** the new operating costs are to apply.
3. Click **"Save"** to document the adjustment. The change is saved with the effective date given and stored clearly in the cost history under "Details" in the tenancy.

When making an adjustment, please always observe the statutory and formal requirements for changing [flat rates for operating costs](https://help.immodio.app/en/anleitung/mietverhaltnisse/betriebskosten/pauschale-betriebskosten#anpassung-der-betriebskostenpauschale) and [advance payments for operating costs](https://help.immodio.app/en/anleitung/mietverhaltnisse/betriebskosten/vorauszahlung-der-betriebskosten#anpassung-der-betriebskostenvorauszahlung).

### Adjusting the additional people who have moved in

**"Adjust additional people who have moved in"** lets you document when [additional people](/en/anleitung/mietverhaltnisse/mietverhaltnis-anlegen/beteiligte/weitere-einziehende-personen.md) move into or out of the apartment.

Typical examples are:

* a partner moving in or out
* a new addition to the family

This information serves to document the actual use of the apartment. It can be particularly relevant where **an allocation key based on the number of people** is used in the [**operating cost statement**](/en/anleitung/mietverhaltnisse/mietverhaltnis-anlegen/betriebskosten.md) *(this is not yet possible in Immodio)*.

### Adjusting the payment reference

**"Adjust payment reference"** lets you document a change to the payment reference for the rent payment. The **payment reference** is relevant for **automatically assigning the rent payment** as part of rent receipt monitoring in Immodio *(this function is still being developed).*

* In the **"Old payment reference"** field you see the payment reference currently stored. It serves as guidance and cannot be changed.

1. In the **"New payment reference"** field, enter the future payment reference for the unit.
2. Click **"Save"** to document the adjustment. The new payment reference is then stored in the tenancy.
