# Filling out templates

This page gives you guidance on filling out the Immodio templates.

{% stepper %}
{% step %}

### Select a template

Use the filter function or the search function to find the right template.

Using "Document language" you can switch between **German** and **English**. This lets you find templates in the language you need.
{% endstep %}

{% step %}

### Download the template

To view a template or be able to edit it, you first have to **download** it. You then edit it in a common **word processing program** such as **Microsoft Word**, **OpenOffice, Pages** or **LibreOffice.**

{% endstep %}

{% step %}

### Fill out the template

You now edit the template in a word processing program. The documents you have downloaded can be adapted individually and processed further.

Text areas highlighted in light blue in the document contain placeholders that have to be replaced with specific details. Use the relevant data from your tenancies, properties and units for this, for example.

**Please note:**

* **All areas highlighted in light blue require individual entries.** These include in particular address details as well as other information that has to be filled in specifically depending on the case.
* **Suggested wording** is also highlighted in light blue and can be adapted, replaced with your own wording or supplemented.
* If you **make declarations to tenants**, **all tenants and landlords listed in the rental agreement have to be named in the covering letter**.
  * You can either write **one joint letter** to all tenants (where the address is the same),
  * or create **separate letters** for each tenant (for example where they live at different addresses).

{% hint style="info" %}
In covering letters the address field is positioned so that it fits exactly into the window of a **standard DIN envelope (with a window)**. This means the document can be sent straight after printing without any additional addressing.
{% endhint %}
{% endstep %}
{% endstepper %}
